Every AP team starts the day in similar fashion. First comes the opening of a shared inbox full of invoices, vendor questions, remittance advice, duplicate emails, and spam. Before a single invoice gets processed, someone has to work out what each email is and where it belongs.

Why email AI tools can't process invoices
Email tools can summarize a thread and draft a first-pass reply. What they can’t do is tell whether a message contains a valid invoice or whether that invoice matches an open PO. They don't have the context to answer a vendor asking when they'll get paid, or to name who needs to approve it next.
Every one of those questions routes back to a person who has to leave the inbox, look it up in the ERP or in Zip, and come back to answer.
This means AP spends a disproportionate share of its time on triage and status updates instead of the invoices that actually require judgment. An invoice that sits unread in an inbox on the last day of the month is spend that has accrued without accounting oversight. That's a late fee at best, and an accrual miss at worst.
How AI AP Inbox automates invoice email triage
AI AP Inbox is one of the newest skills in Zip's AP Superagent. It monitors every email connected to the AP inbox in Zip, whether the invoice comes straight from a vendor, gets forwarded from a shared AP alias, or arrives over EDI.
For every message, the agent:
- Detects invoices, including ones embedded in email bodies or buried in attachments, and flags emails where an expected invoice is missing
- Separates invoices from vendor questions, remittance advice, statements, spam, and duplicate submissions
- Links supporting documents like SOWs and remittances to the correct invoice
- Routes invoices into processing before anyone opens the inbox
Every classification is logged and reversible, so anything the agent does can be reviewed and undone.
For vendor inquiries, the agent pulls live status from Zip: the PO, the approval stage, the payment date. Then it drafts a reply with the actual current status rather than a generic acknowledgment.
Standalone AI email assistants sit on top of a disconnected inbox. AI AP Inbox is built into Zip's intake-to-pay platform, so every email is read in the context of purchase requests, purchase orders, vendor records, contracts, and payment history. That context is what lets the agent answer a vendor with real-time status and move an invoice into the next step of the AP workflow in the same pass.
